A class parents' group is precious: it's where you find out the museum trip has moved, that two more volunteers are needed, that the blue jumper left at the gate belongs to Leo. But in a WhatsApp group, joining the conversation comes at a price: your phone number is visible to every member, for years.
Why your number is a problem
- Dozens of strangers. A class is around 30 families, often with two parents each. A whole-school or year-group chat quickly runs into the hundreds of numbers.
- Unwanted contact. Any member can message or call you directly, for good reasons or less good ones: sales pitches, recruitment, persistent “small favours”.
- Family circumstances. A difficult separation, a parent who doesn't want to be reachable by the other, a family that needs to keep a low profile: for some people, a visible number is not a detail.
- It never ends. The school year finishes, the children move up to Year 4, the group lives on. So does your number.
- The group depends on one parent. Whoever created it stays admin, even when they're no longer class rep.
Can you hide your number on WhatsApp?
Partly, and not everywhere. WhatsApp is gradually rolling out usernames in 2026: people who don't have your number will see your username instead. The rollout is happening step by step, a phone number is still required to create an account, and it remains visible in many existing groups. WhatsApp Communities also hide members' numbers in their announcement group, but not admins' numbers, and that doesn't apply to ordinary group chats.
In short: on WhatsApp, the phone number is still the key to everything, and what others see depends on settings, app version and the type of group. It's hard to promise the class parents that their numbers won't get around.
What a good parents' group needs
- Join without giving your number.
- Message another parent without swapping numbers.
- Updates from the class reps that don't get lost in the chat.
- The year's dates in one place: meetings, trips, the summer fair, sports day.
- Tools to get organised: polls, a list of who's bringing what, a collection.
- Open to every parent, even without installing an app.
- Easy to hand over at the end of the year.
With YouTim: a class group where your number stays private
You sign up without a phone number
To create a YouTim account, an email address is enough, or you can sign in with Google or Apple. No phone number is asked for. A parent who doesn't add one has, by definition, no number to show.
What if my number is in my account?
Each YouTim has a “Publish my contact details” switch on the Members page. Turn it off for the class group: other parents no longer see your email or your phone number, only your name and your photo if you've added one. The setting applies to that YouTim only, so you can leave your details visible in the family YouTim. The YouTim's admins, however, always see them, because they need them to manage members.
The class rep can hide the member list
An admin can turn on “Hide the participant list”: each parent then only sees the group's admins. Handy for a whole-school or PTA group, where nobody needs the full list of families.
Message a parent without swapping numbers
To arrange a lift to a party or return the blue jumper, the Messages tile lets you write to one person, or to several (up to 20, including you), outside the class chat. Only the people in the conversation see it, and nobody had to give out their phone number.
Invite people without collecting numbers
The parent who creates the group doesn't need to gather the whole class's numbers. They share an invitation link (by email, or through the school's parent messaging if the school agrees), a QR code to show at the welcome meeting, or the 6-character invitation code. One precaution: anyone with the link, code or QR code can join, so only share them with the class's families.
Organising the school year
A class YouTim is made up of the services you need, each turned on in seconds:
- Announcements: class reps post the important things (PTA meeting notes, a call for trip helpers, a reminder about class photos or non-uniform day). They stay organised, and admins can see who has read them.
- Calendar: meetings, trips, the summer fair, with parents' replies (“I can help on the trip”) and automatic reminders.
- Poll: find a date for the class social, choose a theme for the Christmas fair stall.
- Bring list: cakes and drinks for the cake sale, shared out without duplicates.
- Fund: the end-of-year teacher gift, with no commission (see our guide How to organise the class collection for the teacher's gift).
- Documents: the kit list, a trip consent form to print, meeting notes, all readable without downloading.
- Chat: for everything else, and an admin can restrict writing to the class reps if they'd rather have a pure information channel.
Nobody has to install the app: YouTim works in a web browser, and parents who don't want notifications can get an email recap in the morning.
Six rules for a calm parents' group
Whatever the tool, a class group works better with a few ground rules set in September, for example in the first announcement:
- The group is for organising class life, not for debates about the teacher or a particular child: those go directly to the school.
- No photos of children without their parents' agreement, and check the school's own rules on photos from trips and events.
- Personal matters in a private message, not in front of the whole class.
- Important information = an announcement, posted by the class reps.
- Respect the clock: no non-urgent messages late in the evening.
- At the end of the year, the group is archived or handed over to next year's reps.
Get started in ten minutes
- Create a YouTim called “Year 3 Oak – 2026-27” and turn on Announcements, Calendar and Chat.
- Turn off “Publish my contact details” if your number is in your account, and turn on “Hide the participant list” if you like.
- Make the other class rep an admin.
- Add the first known dates: the welcome meeting, class photos, the first trip.
- Send the link or QR code to families, with one line: “No need to give your phone number.”
Create one YouTim per class, plus a PTA or school-wide YouTim if needed, each with up to 200 members. The same parent can belong to several YouTims, with a different contact-details setting in each.
Frequently asked questions
Do the other parents need to install an app?
No. YouTim also works in a web browser, with nothing to install; all you need is an account, and an email address is enough. The iPhone or Android app adds push notifications.
What can the class reps who run the group see?
A YouTim's admins see every member's contact details, even for those who have turned off Publish my contact details, because they need them to manage the group. If you don't want anyone to see a number, the simplest option is not to add one to your account.
Can the teacher join the group?
Yes, like any other member, if the class reps invite them. For a surprise gift, create a separate YouTim without them: every member of a YouTim sees all of its services.
Can we have one group per class and one for the PTA?
Yes, you can create as many YouTims as you like, with up to 200 members each. The Publish my contact details setting is chosen separately in each YouTim.
What happens to the group at the end of the year?
Each parent can leave the YouTim and delete their contributions at the same time. The creator can also delete the YouTim, which permanently erases its content, or make next year's class reps admins.
